Open House Melbourne is seeking a contract Event Manager. The Event Manager will be responsible for successfully managing the delivery of the event weekend and other supporting events.

The right candidate will be an event manager with experience in managing major and/or complex public events; excellent project manager; goal and performance oriented; and an effective stakeholder manager. The right candidate is also expected to have a passion for Melbourne and good design.

KEY RESPONSIBILITIES:

  • Program coordination
  • Liaise and coordinate with the Building Council throughout the year to finalise target building list and support the process to secure new and existing buildings for the weekend
  • Manage the building contract process and be the primary stakeholder manager for all buildings
  • Oversee how each building will run in terms of required volunteers, logistics, informed volunteers, tours, opening times, amenities etc. and ensure buildings provide a quality visitor experience
  • Contribute to, and assist the marketing team in production of the event printed program, website and marketing collateral
  • Volunteer management
  • Liaise and coordinate with the Volunteer Council throughout the year to recruit, train and allocate volunteers for the event weekend and other key events
  • Work with the Volunteer Council to ensure the appropriate allocation of volunteers across different roles including building volunteers, informed volunteers, precinct managers, ambassadors, sales volunteers, etc
  • Support the management of the office volunteers required to assist with the running of the event

EVENT PRODUCTION:

  • Produce the event on time, on budget and in a safe and responsible manner that meets all relevant standards
  • Manage the central communications and logistics for the weekend
  • Manage event stakeholder requirements
  • Coordinate the information hubs including locations, structures, permits, collateral and volunteer allocations
  • Coordinate additional tours and activities for the event weekend
  • Coordinate and manage other related OHM events including the speaker series, photography competition, event launch, competitions and year round programming
  • Submit and manage all required permit applications

FINANCIAL MANAGEMENT:

  • Assist in managing the budget for the event weekend and other supporting events, providing timely advice and forecasts as required
  • Report to the CEO and Treasurer on financial progress against the budget

SELECTION CRITERIA:

  • Significant experience in managing major and/or complex public events
  • Demonstrated experience managing a complex volunteer program or equivalent program
  • Strong project management skills and experience
  • Excellent communication skills and stakeholder management experience
  • Able to meet deadlines and prioritise
  • Highly motivated and energetic
  • Good understanding of Melbourne and general knowledge of the principles of good design
